Privacy policy.

1. Who is responsible?

The data controller is Mano Immo, the estate agency of Tiziana Di Piazza, licensed estate agent (BIV/IPI 516652), company and VAT number BE 1033.008.131. Offices: Mommersbosweg 41, 3520 Zonhoven and Krawatenstraat 2, 3470 Kortenaken.

2. Requests through our forms

When you fill in a form on this website, we process the details you provide yourself:

• Contact form: your name, email address and/or phone number, and your message.
• Viewing request on a property page: your name, phone number and/or email address, the property you would like to visit and your preferred time.
• Life-event forms (for example a home you inherited): your name, the municipality of the property, your email address and/or phone number, your answers to the short questions and, if you wish, a message.
• Mano First: your name, email address, optionally your phone number, and your search profile (type of property, region and budget).
• Online valuation: see section 3.

For every request we also record the type of request, the page from which you sent it and the time it was sent.

Purpose. To contact you, answer your question and follow up on your request. For Mano First, we contact you when a property matches your search profile. We do not use this data for advertising or newsletters. Only if you accepted cookies are your email address and phone number sent to Google in hashed form to measure our ads (see section 6).

Legal basis. Steps taken at your request prior to a possible contract (Article 6(1)(b) GDPR) and, where you tick a box for this, your consent (Article 6(1)(a) GDPR), which you can withdraw at any time. Our follow-up stays within what you can reasonably expect from your request.

To respond quickly, our internal environment ranks new requests by urgency, based on the type of request, the selling timeframe you may have indicated and whether you left a phone number. This is used only to plan our follow-up. No decision about you is made automatically.

3. Online valuation

For the online valuation you enter the address and characteristics of your property, such as the type, the building configuration, the living and plot area, the year of construction, the condition and any renovations, the EPC and the heating. To identify your property, we use that address to consult public registers of the Flemish government (address, parcel and building registers, flood risk and zoning). These services receive the address or location of the property, not your name or contact details.

The value itself is calculated with a fixed calculation model based on that data and market figures. We store the valuation so that we can show you the result and so that an agent can review it.

If you would like a personal explanation or the full report, we ask for your name, your email address and/or phone number and, optionally, when you expect to sell. That last question is entirely optional and only helps us plan our follow-up.

Legal basis. Steps taken at your request (Article 6(1)(b) GDPR) and, for contacting you afterwards, your consent (Article 6(1)(a) GDPR).

The outcome is an indication, not a decision. An agent assesses it, and we do not take any decision based solely on automated processing that has legal effects for you or similarly significantly affects you.

4. Reviews

You can leave a review on our review page. We then process your name, your place of residence (optional), the number of stars, your text, if applicable the service your review relates to, and your email address. We use your email address only to check that you are a client. It is never published.

Every review is checked by us first. It only appears on the website after approval, with your first name and the initial of your surname (for example Sofie P.), your place of residence if you provided it, the number of stars, your text, the service and the date.

Legal basis. Your consent (Article 6(1)(a) GDPR), which you give when you submit the review. You can withdraw it at any time, after which we remove your review.

Retention. A rejected review is deleted 30 days after rejection. Your email address is erased 90 days after your review has been assessed. A published review stays online until you ask us to remove it.

5. TizianAi and artificial intelligence

The chat assistant

The questions you ask the TizianAi chat assistant are processed on our own server in order to answer you, together with the page you are on. They are not sent to an external AI service and we do not store the conversations.

Explanation of the valuation

The written explanation of your valuation may be produced by a language model from Anthropic PBC (United States), through its API. For this purpose we send the address and characteristics of the property, together with the calculated values and public information about the surroundings (for example flood risk and zoning). Your name, email address and phone number are not sent. The language model only explains the calculated figures and does not set a price itself.

Draft messages for the agent

When our agent opens a request in our internal environment, a language model from Anthropic may draft a reply email and a call note. For this purpose we send your name, the type of request, your message, the selling timeframe you may have indicated, whether a phone number is known (not the number itself) and, if your request relates to a valuation, the address, the municipality, the estimated price range, the living area and the year of construction. Your email address and phone number are not sent. The agent reads and edits the draft herself; nothing is sent to you automatically.

Legal basis. The explanation is part of the valuation you request yourself (Article 6(1)(b) GDPR). The draft messages help us follow up on your request quickly and carefully, within what you can expect (legitimate interest, Article 6(1)(f) GDPR).

6. Website statistics and advertising measurement (only with your consent)

As long as you do not choose ‘Accept all’ in the cookie notice, we measure nothing and no Google script is loaded. With ‘Only necessary cookies’, nothing from Google is loaded. For this we use Google Consent Mode v2 in basic mode: by default, consent for analytics_storage, ad_storage, ad_user_data and ad_personalization is set to ‘denied’.

If you accept all cookies, we use:

• Google Analytics 4 (Google Ireland Limited), to measure, with a random visitor ID (not your name), how the website is used: pages viewed, searches in our listings, properties viewed, forms submitted and clicks on phone or WhatsApp. Google Analytics 4 does not store IP addresses.
• Google Ads conversion measurement and remarketing, to measure which Mano Immo ads lead to a request (a valuation, a viewing request, a contact request, a Mano First sign-up or a phone call), and to show Mano Immo ads to people who visited the website earlier.
• Enhanced conversions. If you submit a form after accepting cookies, we send the email address and phone number from that form to Google in hashed form (SHA-256, a one-way operation) so that the conversion can be matched. Google does not receive this data in readable form.

Purpose. Website statistics and advertising measurement, only with your consent.

Legal basis. Your consent (Article 6(1)(a) GDPR). You can withdraw your consent at any time with the button below or through the cookie preferences in our cookie policy. Withdrawal does not affect processing carried out before it.

Retention. Google Analytics data is kept for 14 months. Google Analytics cookies stay on your device for 2 years, Google Ads cookies for 90 days.

Recipient. Google Ireland Limited. For part of this processing, Google acts as an independent controller. How Google uses data from websites that use its services is explained at policies.google.com/technologies/partner-sites. You can also manage ad personalisation by Google at adssettings.google.com.

7. Website security

To prevent abuse and spam, our server keeps the IP address of anyone who submits a form in working memory for about one minute, in order to limit the number of requests. Our hosting environment may also briefly record technical connection data, such as IP address and time, for security and troubleshooting. Legal basis: our legitimate interest in securing the website and your data (Article 6(1)(f) GDPR).

The website runs behind Cloudflare (Cloudflare, Inc.), which passes on the traffic and protects the site against attacks. In doing so, Cloudflare processes technical connection data such as your IP address. When you submit a form, Cloudflare Turnstile checks that a person and not a robot is at work, based on technical data from your browser and connection. Turnstile does not place advertising cookies. Legal basis: our legitimate interest in keeping out spam and abuse (Article 6(1)(f) GDPR). Cloudflare may also process data in the United States, under the EU-US Data Privacy Framework.

The data and cookies this website stores on your device are explained in our cookie policy. We only place statistics and advertising cookies with your consent (see section 6).

8. Who do we share your data with?

We share your data only with service providers who need it to deliver our services:

• Microsoft (Microsoft 365 and Azure): the email through which new requests and reviews reach us (for a valuation, with the report attached), the hosting of this website, and the sign-in of our team to the internal environment.
• Zabun: our property software (CRM), where your request is recorded so that we can follow it up.
• Anthropic PBC (United States): the language model for the valuation explanation and the draft messages, as described in section 5.
• Google Ireland Limited: Google Analytics 4 and Google Ads, only if you accepted all cookies, as described in section 6.

These providers process your data on our behalf and under the arrangements required by the GDPR. For part of the processing described in section 6, Google acts as an independent controller. In addition, we disclose data to public authorities where the law requires us to. We never sell your data.

9. Transfers outside the European Union

Anthropic is established in the United States. Data from Google Analytics and Google Ads may be processed by Google LLC in the United States under the EU-US Data Privacy Framework. Where data is processed outside the European Economic Area, this happens only on the basis of the appropriate safeguards required by the GDPR. You can request more information about these safeguards at tiziana@manoimmo.be.

10. How long do we keep your data?

• Requests and contact details (including a valuation for which you left your contact details): as long as needed to follow up on your request, and no longer than 3 years after our last contact, unless a legal retention obligation requires a longer period (for example the anti-money-laundering legislation that applies to estate agents).
• Valuations without contact details: as long as needed to show you the result and have it reviewed, and never longer than the period for requests above.
• Reviews: a rejected review is deleted 30 days after rejection; your email address is erased 90 days after assessment; a published review stays online until you ask us to remove it.
• Chats with TizianAi: not stored.
• IP address for request limiting: about one minute.
• Website statistics (Google Analytics 4): 14 months. Google Analytics cookies stay on your device for 2 years, Google Ads cookies for 90 days.

After these periods, your data is erased or anonymised.

11. Your rights

You have the right to:

• access your data;
• have inaccurate data corrected;
• have your data erased;
• have the processing restricted;
• receive your data in a common format or have it transferred to someone else;
• object to processing based on our legitimate interest;
• withdraw your consent at any time, without affecting the lawfulness of processing before the withdrawal.

To exercise a right, please email tiziana@manoimmo.be. We reply within one month. Where necessary, we will ask you to confirm your identity.

If you are not satisfied with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels, www.dataprotectionauthority.be.

12. Security

We take appropriate technical and organisational measures to protect your data against loss and unauthorised access. For example, traffic with this website is encrypted (HTTPS), our internal environment is accessible only to our team after signing in, and only the people who follow up on your request have access to your data.

13. Changes

We may update this privacy policy, for example when the website gets new features. You will always find the most recent version on this page, with the date of the last change at the top.
